How to Use Sender Profiles and Data Extensions to Send Emails from Multiple Email Addresses

This document contains conceptual and procedural information on using Sender Profiles in conjunction with data extensions to create email sends that use multiple from names and email addresses, depending on the information contained in that data extension.

Prerequisites

Your ExactTarget account must have the enhanced sender profile function enabled in order to follow the directions in this document. Please contact your ExactTarget representative for more information about enabling this feature.

Why Use Sender Profiles and Data Extensions to Send Emails from Multiple Email Addresses

If your subscribers have relationships with different employees of your businesses, you may wish to have them interact with those employees on a one-to-one basis. This solution allows you to send a single email (which maintains your corporate branding and makes sure that information sent out remains consistent) and have all replies directed to a subscriber's individual representative. You can also created multiple sender profiles to handle different aspects of your business email sends, such as one for normal commercial email, one for transactional, and one for special offers.

Create your Sender Profile

Follow the steps below to create your Sender Profile. You must use an administrative user to create this profile.

  1. Log into your ExactTarget account, click the Admin button, and select Sender Profiles.
  2. Enter the Name, External Key, and Description for your Sender Profile.
  3. Click the Use Specified Information radio button.
  4. Enter %%FromName%% in the From Name field.
  5. Enter %%FromEmailAddress%% in the From Email field.
  6. Click Save.

Create your Send Classification

Follow the steps below to create your Send Classification. You must use an administrative user to create this Send Classification.

  1. Log into your ExactTarget account, click the Admin button, and select Send Classifications.
  2. Enter the NameExternal Key, and Description for your Sender Profile.
  3. Change the Sender Profile dropdown menu to the Sender Profile you created earlier
  4. Click Save.

Create your Data Extension

  1. Log into your ExactTarget account, click the Subscriber button, and select Data Extensions>Data Extensions.
  2. Enter the NameExternal Key, and Description for your data extension.
  3. Under the Type heading, click the Used For Sending checkbox.
  4. Change the first dropdown menu under the Type heading to EmailAddress, and change the second dropdown to Subscriber Key, if Subscriber Key is enabled on your account. Otherwise, set the second dropdown field to EmailAddress.
  5. NOTE: If you use EmailAddress for both fields, any subscriber who unsubscribes will no longer receive email from this account.

    If you use Subscriber Key, you can send emails from the account using a different subscriber key.

  6. Add fields for EmailAddress, FirstName, LastName, FromName, FromEmailAddress, Value, and Key (if you use Subscriber Key). All the fields should be set to the Text data type except for EmailAddress, which should have the EmailAddress data type. The Value field holds the subject line you wish each individual 
  7. Click the Primary Key checkbox for the Key field if you use Subscriber Key. If not, click the Primary Key checkbox for the EmailAddress field.
  8. Click Save.
  9. Import information into the data extension, specifying the FromName and the FromEmailAddress you want to appear on an individual email message.

Creating the Email Send

Follow the steps below to create your user-initiated email send using the Sender Profile and Send Classfication you created earlier.

  1. In the ExactTarget application, click the Interactions button and select Messages>Email>User-initiated.
  2. Enter the NameExternal Key, and Description for your email send.
  3. Select the email message you wish to send in the Message field.
  4. Enter %%Value%% in the Subject line. This retrieves the value of the Value field from the data extension and uses it in your email's subject line.
  5. Select the send classification you created in the Send Classification dropdown menu.
  6. Click the Edit Audience link and select the data extension with the subscriber information you created earlier.
  7. Click Save.
  8. When you wish the send the email, click Send twice.
