Portfolio Procedures

    This section contains procedural information relating to portfolios.

    These procedures are applicable to all editions of the application.

    Please see Support File Types for acceptable file formats and best practices.

    How to Upload a Single File

    Use the following steps to upload a single file:

    1. Click the Content tab.
    2. Click Portfolio.
      The Portfolio workspace appears.
    3. Click the Single Upload button on the toolbar.
      The Upload Item window appears. Complete the Upload Item window:
      • Choose a file - The file to upload. Click the Browse button to navigate to the file.
      • Name the file - The name of the file. The name must be unique in the portfolio. The name can contain only numbers, letters, and spaces.
      • External Key - The unique identifier of the file used by the API. This is a mandatory field. The system defaults this value to the file name. You can change the default value.
      • File description - A description of the file. This description helps you manage the files in your system.
    1. Click OK.
      The files are uploaded to the application.

    How to Upload a Batch of Files

    You can use this procedure to upload multiple files or a compressed file (.ZIP) that contains multiple files.

    1. Click the Content tab.
    2. Click Portfolio.
      The Portfolio workspace appears.
    3. Click the Batch Upload button on the toolbar.
      The Upload Item(s) window appears.
    4. Click the Choose File button.
    5. Navigate to and select the zip file or file you want to upload and click Open
    6. Repeat step 1-5 for each file to upload.
    7. Click OK.
      The files are uploaded to the application.

    How to Delete a File

    Warning: If you delete an image that you used in an email or running microsite, subscribers may see a broken image if they try to view the image.

    Follow these steps to delete an email:

    1. Click the Content tab in the navigation bar.
    2. Click Portfolio.
      The Portfolio workspace appears.
    3. Select the image to delete.
    4. Click the Delete button on the toolbar.
      The Delete Items warning appears.
    5. Click OK.

    How to Access Stored Files

    To access the stored images, follow these steps:

    1. Click the Content tab.
    2. Click the Portfolio folder.
      You see Forward to a Friend subfolder containing the Forward to a Friend graphics.
      You also see the Comstock subfolder if you purchased Comstock stock images.
      Note: All files and images that you store in your Enterprise administrator account will be available to Lock & Publish channel members in their Global Portfolio or Global Images folder. If you do not want an image to be available to members, you'll need to create your own Lock & Publish channel member account and store the image there instead. If you're using Lock and Publish account, the Global Portfolio or Images folder (and their subfolders) is where you'll find files and images that have been stored by your Enterprise administrator.
    3. Click a subfolder to display thumbnails of its contents in the workspace on the right.
      The context toolbar contains several commands to manage your images.

    How to Add Multiple Files Via a .zip File

    To upload a .zip file, follow these steps:

    1. Click the Content tab.
    2. Open the workspace for the folder in which you want to store the files by clicking on the Portfolio tab, or the subfolder within it.
    3. Click the Batch Upload button in the context toolbar. 
      If you choose Single Upload, the system uploads the entire .zip file instead of the individual files within the .zip file.
    4. In the Upload Item(s) dialog box, use the file-selection dialog box next to the Select the file(s) to upload field to navigate to a .zip file that contains the images you want to upload.
      A progress bar displays as the application uploads of the individual image files. Each is displayed in the Added Files section.
    5. In the Added Files section, modify the Display Name and Description for each file uploaded.
       To delete a file, click the red X next to the appropriate image name.
    6. Click the OK button to complete the upload process.
    7. In the Upload Results dialog box, click the OK button.

    How to View and Modify Image Properties

    Note: You modify an existing image just by uploading the new version with the same name. The system asks you whether you want to overwrite the existing graphic with that name. You choose Yes. All emails and landing pages that use that graphic will be updated .
    Note: If you're using a Lock and Publish account, you cannot modify images in the Global Images folder unless you are an Enterprise administrator.

    You can view and modify image information by following these steps:

    1. Open the workspace for the image folder in which the image is located.
    2. Click the thumbnail of the image for which you wish to view or modify the properties.
    3. In the context toolbar, click the Image Properties command.
    Field Description
    File Size The size of the image file.
    Width The width, in pixels, of the original image.  The width of an image can be modified in the email editor; however, the stored image retains the original size.
    Height The height, in pixels, of the original image.  The height of an image can be modified in the email editor; however, the stored image retains the original size.
    Display Name The reference name for the image that is displayed in the workspace and in the folder directory when inserting an image into a content area.
    Created The date and time the image was uploaded.
    Modified The date and time the properties of the image were last modified.
    Folder The folder in which the image is stored.
    Description A descriptive statement about the image.  The description is only displayed when viewing the properties of the image.
    1.  In the Image Details dialog box, you can modify the following:
      • Change the image name or description by editing the Display Name and Description fields.
      • Relocate the image by clicking Select Folder and choosing a different image folder.

    How to Preview an Image File

    To see a full-size version of an image, follow these steps.

    1. Click the Content tab.
    2. Open the workspace for the image folder in which the image is located, by selecting the Portfolio tab, or a subfolder.
    3. Click the thumbnail of the image you wish to preview.
    4. Click the Preview command in the context toolbar.
      A new browser window opens and displays the image at its original size (the size at which it was uploaded).
