Tracking Emails in ExactTarget for Microsoft Dynamics CRM 4.0

    With ExactTarget for Microsoft Dynamics CRM, you can see a complete view of how an individual or group responds to your email campaigns. The TutorialIcon.pngExactTarget application collects tracking information on your message (such as opens, views, and click-throughs) and sends that information to Dynamics CRM. You can create records and dashboards with this data to help evaluate and focus your email marketing efforts. You can also use this information for additional segmentation or analytics in email activities.

    By default, the ExactTarget for Microsoft Dynamics CRM connector retrieves tracking information every hour on the half-hour. You can change this setting in the ExactTarget for Microsoft Dynamics CRM connector settings.

    Activities and Tracking

    You can see campaign response information from the Activities screen on the ExactTarget tab. You can see a summary of all the individual campaigns with the following sortable columns:

    • Subject
    • Regarding
    • Activity Type
    • Activity Status
    • Owner
    • Priority
    • Actual End
    • Start Date
    • Due Date

    How to Use Activities to Return Tracking Details

    Follow these steps to return tracking details based on activities:

    1. Click the ExactTarget tab in the navigation pane.
    2. Click Activities.
    3. Select Campaign Response in the Type dropdown menu.
    4. Select ExactTarget Responses in the View dropdown menu.  The grid displays tracking information. Click a column header to sort by that column.
    5. Double-click the email to review and bring up the Campaign Response window. You can find tracking information on the Campaign Response and ExactTarget Send tabs.

    How to Use ExactTarget Sends as Tracking Overviews

    Use the following steps to use ExactTarget sends as tracking overview:

    1. Click the ExactTarget tab in the navigation pane.
    2. Click ExactTarget Sends to view the ExactTarget Sends screen. The grid provides an overview of your active/inactive sends.
    CAUTION: Do not delete ExactTarget send records from your Dynamics CRM system.  Doing so prevents the transmission of tracking data for that job from the ExactTarget system to your servers, and ExactTarget is unable to restore send records in your Dynamics CRM system.

    How to Display Tracking Information for a Campaign

    Use the following steps to view aggregate tracking information:

    1. Click the ExactTarget tab in the navigation pane.
    2. Click Campaigns to bring up the Campaigns page.
    3. Select the campaign type to view in the View dropdown menu.
    4. Double-click the email name to open a detailed information page. You can also click the arrow next to the email to view to see a nested summary in the Campaign detail window:
      • Click the General tab to view the ID and name of the email, when it was sent, the status, the subject line, who it came from, the From name, and throttling information.
      • Click the Statistics tab to view detailed information regarding the intended recipient and delivery statistics.
      • Click View Sent Email from the toolbar to see what the email looked like.
    5. Click ExactTarget Sends from Details in the navigation pane.
    6. Double-click the email to view.
    7. Click Send Lists from the navigation pane to see the lists that received the send. Double-click a list to see more information.
    8. Click Send Links from the navigation pane to see the links in the send. Double-click a link to see more information.

    Individual Tracking: Accounts, Contacts, and Leads

    You can drill down to an individual's response from the aggregated tracking data or you can view campaign responses with the History navigation pane option.

    How to Access Individual Response Data from Campaign Tracking

    Use the following steps to see an individual response:

    1. Click the ExactTarget tab in the navigation bar.
    2. Click ExactTarget Sends.
    3. Double-click the send tracking to view a window with the tracking details.
    4. Click Campaign Responses from the navigation bar to display the responses for each Contact, Lead, or Account in the send.

    After you complete this procedure, you can create a list of individuals based on their behavior captured in the tracking.

    How to Create a List from Tracking Details

    This procedure assumes you have already accessed individual response data from campaign tracking.  Use the following steps to create a list from Tracking Detail:

    1. Select the Contacts, Leads, or Accounts to include on the list.  Click the column headings to sort the list and make selecting items easier.
    2. Click the Copy to Marketing List button from the toolbar.
    3. Complete the information in the Copy to New Marketing List window.
    4. Select the links you want to use as criteria.
    5. Click OK.  The system begins the process of creating lists with the selected Leads, Contacts, and/or Accounts. You can see the newly created list on the Marketing List screen.
    NOTE: The process of creating the lists occurs without progress appearing on your screen, and the process may last a few minutes for lists containing tens of thousands of leads, contacts, or accounts. For very large lists, the list may not be available on your Marketing List screen immediately.

    How to Return Tracking information for a Single Send

    Use the following steps to get individual tracking information for Accounts, Contacts, or Leads:

    1. Click the ExactTarget tab in the navigation pane.
    2. Click Contacts, Leads, or Accounts.
    3. Double-click a Contact, Lead, or Account.
    4. Select History from the navigation pane.
    5. Select All in the Filter on field.
    6. Double-click the selected email to view the Campaign Response screen.
    7. Click the Campaign Response tab to view the following information:
      • Parent Campaign: response/promotion codes
      • Received from Existing Customer: customer name
      • Received from New Customer: company name, contact info
      • Details: channel, outsource vendor, received on, close by, originating activity, subject, owner
    8. Click the ExactTarget Send tab to view the following information:
      • Email: job ID, subscriber ID, sent date, email status, from info, subject
      • Delivery stats: last opened, last clicked, total clicks, unique clicks, bounced, unsubscribed
      • Link stats: link URL, total clicks, last clicked

    How to Use On-Demand Tracking

    On-demand tracking allows you to request tracking data based on a specified date range supplied by you at the time of the request. You can view the tracking information as a campaign response. Access this feature in your Dynamics CRM instance by following the steps below:

    1. Click the Settings button.
    2. Select ExactTarget Settings on the left side of the window.
    3. In the main window, click Retrieve Email Tracking Data.
    4. Enter the beginning and end times for your date range and click OK.
    NOTE: To use this feature, the Tracking tab in your ExactTarget for Microsoft Dynamics CRM connector must be set for Option 1.
