How to Use ExactTarget Dynamic Owner Functionality within Microsoft Dynamics CRM 4.0

    This document contains conceptual and procedural information on how to use dynamic owners as part of emails sends from the ExactTarget application in conjunction with Microsoft Dynamics CRM 4.0. You can change the From name and email address on emails within a single send based on filter criteria.

    Prerequisites

    You must have an ExactTarget instance integrated with Microsoft Dynamics CRM 4.0 in order to use the information in this document.

    What Is Dynamic Owner Functionality

    Dynamic owner functionality allows you to change the From information on an email using information present in your Dynamics CRM instance.

    Why Use Dynamic Owner Functionality

    Each contact in your Dynamics CRM instance may have several different owners, depending on the type of message being sent. For example, you may have a sales representative, a support representative, and a marketing adviser assigned to the same contact for different reasons. When sending an email, you may want the owner of that email to differ based on the subject matter of the email.

    How to Set Owners Dynamically using ExactTarget for Microsoft Dynamics 4.0

    Follow the instructions below to set up dynamic owners for your Dynamics CRM instance.

    1. Create a custom entity in Dynamics CRM called Contact Owner with the following information:
      • A 1:N relationship between Contact and Contact Owner
      • A picklist field called Type with the Contact Owner types you wish to create. For example, you can use "Sales Representative," "Support Representative," and "Marketing Advisor."
      • Create a Contact Owner Type in Dynamics CRM for each type you specified in the picklist.
    2. Click Settings and select ExactTarget.
    3. Click Configure CRM Dynamic Owner and select New Rule.
    4. Select Contact Owner in the Ownership Entity field.
    5. Select Owner in the From Name field.
    6. Select one of the Contact Owner Types listed in the Type field.
    7. Repeat steps 3 through 6 for each Contact Owner Type you created.

    Once these rules are created, you can choose CRM Dynamic Owner in the first From field of a Send ExactTarget email and choose the rule you want to use in the second field. That send will choose the appropriate owner specified by the rule and use that From information in the send.
