This section is intended for business managers or other users responsible for enabling users, creating workflows, and setting preferences in ExactTarget for Microsoft Dynamics CRM. What Are Advanced Features of ExactTarget for Microsoft Dynamics CRM 4.0Advanced features of ExactTarget for Microsoft Dynamics CRM 4.0 allow administrators to exercise control over the users of the Dynamics CRM integration and determine how information is mapped within the integration. Why Use Advanced Features of ExactTarget for Microsoft Dynamics CRM 4.0Advanced features of ExactTarget for Microsoft Dynamics CRM 4.0 let you customize your integration to best work with your users and workflows. You can create dynamic owners that customize what From address your subscribers see when they open their emails and map attributes from your Dynamics CRM instance to the ExactTarget application. Enabling User AccessThe following procedures describe how to add Dynamics CRM users to ExactTarget and map the users to enable their access to the integration. NOTE: Users must have the System Administrator role in Dynamics CRM to get access to the ExactTarget section of the Dynamics CRM Settings tab. How to Add Dynamics CRM users to ExactTargetUse the following steps to add ExactTarget users. You can also use this process to modify an existing ExactTarget user:
How to Map Microsoft Dynamics CRM UsersUse the following steps to map Dynamics CRM users to ExactTarget users:
Creating Dynamic OwnersThe dynamic owner feature supports contacts, leads, and accounts with multiple owners that have a different role associated to each. You can use the additional owners to send messages from different roles or to map user information to ExactTarget attributes. Create a rule in your system settings for each role that can be related to a contact, lead, or account. For example, your organization might have an Inside Sales owner who is different from the Customer Support owner. You would create a rule to contain the logic for identifying the Inside Sales owner and another rule to contain the logic for identifying the Customer Support owner. When you send a message to a marketing list, campaign, contact, lead, or account, you have the option to use the From information of whichever owner is in the role you specify. For example, you could choose to send a newsletter to contacts from the account owner who is identified with the Inside Sales role. When the system sends the message to each contact, it contains the From information from the Inside Sales owner of contact. If the system uses the rule you created and the logic does not find valid from information to use as a From address, the feature uses default information. For example, you can specify a user or use the CRM Record Owner as the default. This default provides a failsafe to ensure that good From information is always available for your sends. How to Create Rules for Additional Owners RolesFollow these steps to create rules for additional owner roles:
Once the rule is created, you can create a send through ExactTarget for Microsoft Dynamics CRM and choose CRM Dynamic Owner in the From menu. Choose the rule you created in the dropdown menu next to the From dropdown menu to use it as part of the send. Mapping AttributesYou can associate ExactTarget attributes to appropriate Microsoft Dynamics CRM fields so that ExactTarget knows what data to pull from your Microsoft Dynamics CRM database when sending emails. ExactTarget can then insert personalization and evaluate dynamic content rules within the emails you send. You can map any standard Microsoft Dynamics CRM attribute as well as custom attributes. For example, you may wish to create a lead-rating attribute in ExactTarget to map to the rating field on the lead entity in Microsoft Dynamics CRM. How to Create ExactTarget AttributesUse the following steps to create an ExactTarget attribute:
How to Map Dynamics CRM Fields to ExactTarget AttributesUse the following steps to map Dynamics CRM fields to ExactTarget attributes:
Note: Attributes must be individually mapped for each of the entity types because the entity types have different attributes.
