What is ExactTarget for Microsoft Dynamics CRM 4.0?

ExactTarget for Microsoft Dynamics CRM 4.0is an integration of two applications: the ExactTarget
application for email marketing functionality and Dynamics CRM 4.0 for managing your customer
relationships. The integration allows you to use ExactTarget's advanced tools for building,
sending, and tracking email marketing campaigns from within your CRM.

Marketing Sends Mass Email on Behalf of the Sales Team

Jim, SmileySoft Inc.'s new VP of marketing, is preparing his team for the annual SoftCon tradeshow in Seattle this January. With its new product launch, SmileySoft plans to have a big presence at this tradeshow.

Recently, Jim's been meeting with Megan, his director of online marketing, to discuss the success of the use of campaigns in the Dynamics CRM. SmileySoft Inc. has been tracking the cost effectiveness of their various marketing efforts.

Jim wants Megan to send an email to each of their prospects within a 300-mile radius of the tradeshow. He wants the email to look like it's coming from the prospect's sales representative (lead or contact owner) and use the sales representative's email address and name as the From address of the email. He also wants to include the picture and signature block of the sales representative in the email, even though Megan is the person who is actually sending the email. Jim wants to use this method to allow prospects' replies to the email to go to their sales representatives.

To do this, Megan preloads all of the leads into the Tradeshow Campaign in Dynamics CRM. She navigates to the particular campaign, clicks the Send ExactTarget Email button, selects the Marketing Lists she wants to send to, and selects the Dynamics CRM record owner so every email looks like it's coming from the sales representative.

Marketing Sends Single Send to an Individual Lead or Contact

Bob, a sales representative, just got off the phone with his contact, Sally at Consolidated Steel, and he would like to send her a follow-up email.

Corporate Marketing created an email for the Bob's sales team so that they can invite their hot prospects to a seminar in San Diego. Bob decides this is the email to send Sally.

Corporate Marketing published this specific email to everyone in the western sales team; those in the east have an email with an invitation to Florida; and those in the Midwest have an email with an invitation to a summit in Chicago.

Bob sends his email from Dynamics CRM by:

  • Clicking Send ExactTarget Email from Sally's contact record
  • Selecting the seminar invitation email
  • Changing the subject line from %%First Name%% - Seminar Invite to %%First Name%%, check out the great time in San Diego
  • Clicking Send

Bob can easily determine when to call Sally to see if she'll attend the seminar. He can look at the Campaign Response attached to Sally's contact record to see if she clicked the Tell me more! link in the ExactTarget email he sent.  Her contact record also displays any bounce information, in case Sally's mailbox was full or her account was disabled.

Enterprise-Edition ExactTarget Accounts

There are a few special considerations if your ExactTarget account is an enterprise edition:

  • Only ExactTarget subscriber attributes defined in the parent account can be mapped to Dynamics CRM fields; if you want to use Dynamics CRM fields in your email processing, you must create the corresponding attributes in the parent account and any lock and publish accounts you are enabling for use with ExactTarget for Microsoft Dynamics CRM.
  • You can use lock & publish edition child accounts with your enterprise edition account. With these accounts, you can create emails in the parent account, lock certain content areas, and publish the emails to the child accounts. Users in the child accounts can create content in the unlocked content areas for their specific business needs.
  • Any requested tracking is returned to Dynamics CRM for any send, regardless of whether the send was initiated from the parent account or a child account.
  • The emails that you can access when you send from Dynamics CRM are the same emails that your ExactTarget user can access.

Read-Only Access

If you have a Read-Only license for Microsoft Dynamics CRM that allows you to view data and reports, but not create records, you have parallel access to the functionality in the ExactTarget integration. You can view tracking, view reports, and access the ExactTarget product.
