Sending Emails with the ExactTarget for AppExchange IntegrationFrom $1Table of contents
You can use the ExactTarget for AppExchange integration to send emails using information from your Salesforce account. You use the ExactTarget application to create and send the email to the Contacts, Leads, Reports, and Campaigns in your Salesforce instance. What are Emails Sent with the ExactTarget for AppExchange IntegrationEmails sent through the ExactTarget for AppExchange integration use the same creation and send process as standard ExactTarget application emails. However, the integration uses information contained within your Salesforce instance to determine who receives the emails. That information does not have to be manually imported into the ExactTarget application for your use; the integration shows your Salesforce information inside the ExactTarget application. You can make the following sends using the ExactTarget integration with Salesforce:
All aspects of creating and managing the emails that you send, such as linking attributes for Salesforce Leads and Contacts, are handled within the ExactTarget application. Refer to the ExactTarget for AppExchange User Guide for information about emails. Why Use Emails Sent with the ExactTarget for AppExchange IntegrationThe ExactTarget for AppExchange integration allows you to effectively link messages from the ExactTarget application and information in your Salesforce instance without having to import and export information between the two sources. The integration takes care of all information exchanges. ProceduresThe following topics contain information you can use to send emails to Contacts, Leads, Reports, and Campaigns.
Important Notes about Sending EmailsThis topic contains important information about how ExactTarget emails are sent. Please review the Setup and Customization of the ExactTarget for AppExchange Integration topic for information about the setup that your system administrator must perform before you'll be able to send ExactTarget emails using the integration. Additional Information about How Emails are Sent Using the ExactTarget for AppExchange IntegrationThis section contains additional information about how email content and send classifications behaves within the ExactTarget for AppExchange integration. Numbers in Personalization Substitution StringsIf the email includes a numeric personalization substitution string, the ExactTarget application follows these rules in displaying the number in the email:
Record Data in Personalization Substitution StringsIf a Lead receives an email from you and is converted into a Contact after the email has been sent, any personalization substitution strings in the email will still display data from the Lead record, not the Contact record, even if the recipient opens the email after having been converted into a Contact. Email Content FormatAll emails to your Salesforce Leads and Contacts are sent as multi-part MIME messages. If a recipient's email server refused the HTML version of the email, the recipient will still receive the text version. Contact your ExactTarget representative if you'd like more information. Send ClassificationsEmails sent through the Salesforce instance with a transactional send classification ignore list- and account-level unsubscription requests. Transactional sends do not require profile center and unsubscription links. Commercial sends require these links, and the email validation process returns an error for commercial sends without these links, which prevents you from sending the email. However, transactional send-specific validation allows transactional emails to go out without those links being present in the email message. De-duplication of Email Sends in the ExactTarget for AppExchange IntegrationThe ExactTarget application automatically de-duplicates email messages sent to Salesforce Reports or Campaigns via a guided send in ExactTarget or user-initiated send from Salesforce. Each email address will only get one message as part of the send to a Salesforce Report or Campaign. ExactTarget can disable the de-duplication feature for Salesforce if necessary. Contact your ExactTarget representative if you have any questions regarding this feature. If you send a user-initiated email to a data extension through the ExactTarget application interface, you can click the De-duplicate by email address checkbox under the Data Extension Audience Options heading to prevent sending duplicate messages to the same email address. NOTE: Your account must be configured to use data extensions in conjunction with mass sends to Salesforce records from within the ExactTarget application. Please contact your ExactTarget representative for more information. Valid Characters in the From NameYou cannot use a vertical delimiter (pipe) as a valid character in your Salesforce send's From name. Canceling a SendYou must cancel any sends from the Salesforce application in the ExactTarget application. If that send involves a user-initiated interaction inside a program, you must cancel the program. Reasons the ExactTarget for AppExchange Integration Excludes a Lead or Contact from a SendYou may see a Lead or Contact excluded from a send due to multiple reasons:
Contact your system administrator or refer to the Salesforce documentation for information about the Email Opt Out field. Contact your ExactTarget representative for additional information about the global unsubscribe list. Reasons a Send to a Campaign or Report Sent Through the ExactTarget for AppExchange Integration FailsYou may see a send to Campaign or Report for due to multiple reasons:
Sends to a Salesforce ReportIf you are sending to a Salesforce Report, ExactTarget recommends that you include Lead Owner or Contact Owner as part of your criteria. This will ensure the email will only be sent to the specific records you or a designated user owns. All sends conducted to a Salesforce report via the ExactTarget application MUST include contactID or leadID in the fields pulled back into the report in order to conduct a successful send. Otherwise, the send fails without notice. Excluded Campaigns and ReportsLeads or Contacts that appear on the excluded Report or Campaign will not receive the send, even if they also appear on the Report or Campaign you send to. To use this functionality, you must launch the email from within ExactTarget or from the ExactTarget tab in Salesforce. Security SettingsDepending on how your Salesforce and ExactTarget user security records are set up, it is possible that the list of Leads and Contacts who receive the email is not the same list that you see when you view the Campaign members or run the Report. When configuring the ExactTarget for AppExchange integration, your administrator set up a Salesforce login for the ExactTarget application to use when it retrieves information from and posts information to your Salesforce database. When sending an email to a Campaign or a Report, the ExactTarget application uses this login (not yours) to retrieve the appropriate set of records. If this login's record access rights differ from yours, it may find more or fewer Leads/Contacts. The list that the ExactTarget application retrieves with its login is the list that will receive the email.
