What Is an Email

An email is a type of electronic message that is delivered to your subscribers' email inbox. In the ExactTarget application, an email consists of content. Content is the text, images, and rich media that the subscriber sees when viewing the email.

You can send the email by:

You can create the content of an email using a template or by entering HTML into the application interface. When you send the email, you can choose to send HTML and TXT versions of the email.

An email shouldn't be any larger than 200K in the ExactTarget application. The email width is 600 pixels.

The following table describes the fundamental elements of an email and the differences between emails based on a standard template and emails built from pasted HTML (either from scratch or from an HTML paste template).

Link to view the email as a web page Every email includes a link at the top of the email (above the header) allowing the subscriber to view the email in a browser.

Header

The user who built the template defined the header in the template.

The header cannot be changed within the email. If changes are needed, the template must be modified, and the email must be updated with the modified template.

The application does not insert a header into your HTML paste email.

Static Content A static content box (also called a content area) is a rectangular region in an email template in which you can add content when creating an email.

 

If you build your email using an HTML paste template and that template includes content boxes, the content boxes in your email work the same as they do in an email based on a standard template.
 
Dynamic Content With dynamic content boxes, multiple versions of a single content box exist, and which version a subscriber sees in his or her email depends on the subscriber's attiributes.
Standard Footer Every email includes a footer (below the bottom content box) with your physical address and links to a privacy policy and the profile and subscription management centers. The application does not insert a footer in your HTML paste email.

You are required to insert your physical mailing address per the CAN-SPAM Act and a subscription/profile center link in your HTML paste email.

NOTE: If a subscriber uses the forward button in their email client to forward a message, the links for the original subscriber will appear in the forwarded message.

For example, if Lee uses the forward button in Microsoft Outlook to forward your message to Ali, if Ali clicks the profile center link in the footer, she will see Lee's personal information.

Email Workspace

The email workspace is where you create and manage emails. All emails in the selected email folder appear in the email workspace with the following information and options:

Select the email. If you click this checkbox, you can click one of the buttons on the toolbar to use on the selected email.

Name column

Click the hyperlinked email name to open the email in the email editor workspace. 

Subject column 

The email's subject line. Select the email and click the Properties button to change the subject line.

Content Detective

Tool that helps you identify spam triggers in your email content. This feature mirrors the logic used by spam-filtering software to identify words, phrases, and patterns that could trigger filters and then recommend a resolution to each identified problem.

Content Detective status "Not Checked": Indicates that the Content Detective has not been run on this email. Select the email and click the Content Detective button to run the Content Detective.

Content Detective status "problems detected" : Indicates that the Content Detective found one or more spam filter triggers. Click the Content Detective button to see the problems that were found.

Content Detective status "OK!": Indicates that the Content Detective was run on this email and did not find any spam filter triggers.

Note: If you edit the email after the Content Detective has been run, the indicator returns to  "Not Checked" status.

 Created The date the email was created.
 Modified

The date the email was most-recently modified.

 Last Sent

The date the email was most-recently sent.

  • Send it to recipients with lists or groups using the send wizard.
  • Set it up as a triggered send. See Triggered Emails.

After you send an email, you can perform several tasks to view information about that email. You can:

How To Use the Email Editor Workspace

When you create or edit an email, the email opens in the email editor workspace. The workspace has three tabs to switch from one mode to another:

  • preview: Preview the email as it will appear to subscribers whose email clients can handle HTML content.

Note: In preview mode, personaliztion strings display the field name, not merged subscriber data, and dynamic content boxes display the default content. You can use the Subscriber Preview to view the email as it appears for a particular subscriber.

  • html: Edit the content of the email for subscribers who receive the HTML version.

  • text: Edit the text version of the email that is sent to subscribers who cannot (or have chosen not to) receive the HTML version.

Emails built from a standard template have a predefined layout (the organization of content boxes within the email), header, and border design (around the entire email, not around individual content boxes).

If the email you're creating or editing was built from pasted HTML, you'll see the HTML code rather than content boxes. You can edit the HTML code as needed.

How To Access an Email After It's Been Created

All emails are stored in the Content tab of the navigation pane. The Content tab is where you can modify, relocate, or delete an email, as well as view historical data about the email.

To access an email after it's been created, follow these steps:

  1. In the navigation pane, click Content.

  2. Click the folder or subfolder that contains the email.

The email workspace displays the emails in the selected folder.

How To Find the Email ID

All emails contain a unique email ID number. To access that number, follow these steps:

  1. Click the Content tab.
  2. Click the my email folder, and click the child folder that contains the email if necessary.
  3. Select the checkbox next to the email.
  4. Click the Properties button in the toolbar.

The ID appears in the General Information section of the properties window.
