Setting Up a Drip Campaign with AIM

    This document contains conceptual and procedural information regarding the creation and use of drip campaigns using ExactTarget's AIM functionality. You can use AIM to set up a drip campaign that is managed through automated programs and pre-created email messages. 

    Prerequisites

    Before creating a drip campaign, make sure that all of the email messages and other elements you wish to use with the campaign have been created. You should also give some thought as to what you want to accomplish with your drip campaign, such as retaining new customers or getting subscribers to interact with a new campaign.

    What Is a Drip Campaign

    A drip campaign uses a series of email messages to keep in contact with a subscriber over an extended period of time and prompts them to participate in further actions or sales.

    Why Use a Drip Campaign

    You can use a regular series of email messages (the "drips" in the drip campaign) to start and continue your drip campaign. For example, you can start your campaign with a welcome email, then send a follow-up email in two weeks to inquire about your subscriber's feelings on your product or service, and follow that email with an offer a month later to offer possible upgrades or special offers. Each drip maintains contact with your subscriber and gives them a reason to consider or interact with your offer.

    Scenario

    Northern Trail Outfitters wants to collect the email addresses of people interested in a free 30-day trial membership at the new rock climbing wall at one of their stores and remind them that their membership expires soon. They decide to set up a Smart Capture form on their website that captures information submitted by subscribers and send them reminders based on the date the subscribers submitted their information.

    First, Northern Trail Outfitters creates a subscriber list in which to store the information used to contact the drip campaign message recipients. They could also use data extensions to store this information if they wished to use them instead.

    Next, they set up the data filters used to segment out the subscribers who signed up 15 days ago and 28 days ago based on today's date. Those subscribers will receive one of the email messages created later in this scenario.

    They also create three email messages for the drip campaign. The first email immediately welcomes the subscriber after they submit their data on the Smart Capture form. The second email goes out to subscribers 15 days after that sign-up date, and the final reminder occurs 28 days after the sign-up date.

    Programs determine who gets the email messages and when they are sent. Northern Trail Outfitters creates two programs to sort out subscribers from the subscriber lists and send them the appropriate email message 15 days and 28 days after their signup date.

    They also set up a triggered send to make sure the subscribers receive their confirmation message immediately after they sign up.

    Finally, Northern Trail Outfitters creates the Smart Capture form to actually collect the information. They point the form to the subscriber list to store the information collected, and they add the triggered email send to the form so that it can be sent with each submission.

    On the new store's website, they post the Smart Capture form that takes in the information and puts it on the subscriber list. Based on the information in that subscriber list, Northern Trail Outfitters sends a triggered email upon each signup, a follow-up email 15 days later, and a final reminder 28 days after that person subscribed to the email.

    How to Set Up This Drip Campaign with AIM

    The following example sets up a drip campaign that gathers email addresses and contact information via a Smart Capture form. The drip campaign follows the following steps:

    1. Choosing the Subscribers that Receive the Messages
    2. Creating the Email Messages
    3. Setting up the Programs
    4. Setting Up the Triggered Email Send
    5. Setting up the Smart Capture Landing Page

    Choosing How to Store Your Subscriber Information

    You can store your subscriber information on subscriber lists and use groups to sort out the subscribers to receive the drip campaign email messages, or you can store the information on sendable data extensions and use data filters to sort out the subscribers to receive the drip campaign messages.

    Setting Up the Subscriber List and Groups

    You can store your drip campaign subscriber information in your ExactTarget subscriber lists. First, create the following subscriber attributes.

    • First Name
    • Last Name
    • Email Address
    • SignUpDate

    Next, create the list you wish to use.

    Next, create two groups that will hold subscribers who subscribed 15 days ago and 28 days ago. You can either create a rule-based group or create a group using data filters to sort out the subscribers to receive the email. Use the following rules in the group or data filter to get the correct subscribers into the group:

    • SignUpDate = Today minus 15 days
    • SignUpDate = Today minus 28

    The subscribers on this group change on each refresh. Note that this logic for these rules have to include "Today minus." If you use "Today plus" in any of the logic, that day will always be a specified number of days in the future, and your groups will never contain any subscribers.

    Setting Up the Data Extensions and Data Filters

    If you choose to store your subscriber information on data extensions, you need to create a data extension using the Triggered Send Data Extension template. Make sure that the data extension contains the following fields:

    • First Name
    • Last Name
    • Email Address
    • SignUpDate

    Also, make sure that Email Address relates to Subscribers on SubscriberKey.

    Creating the Email Messages

    In this drip campaign, you need to create three email messages:

    • The initial welcome email
    • The 15-day email
    • The 28-day email

    The initial welcome email goes out to subscribers via a triggered send, while the other two email messages use a user-initiated email interaction. Be sure to start the triggered send after you create it in order to make it active for use by the Smart Capture landing page.

    Setting Up the Programs

    Whether you choose to use groups or data extensions, you will use programs to refresh your subscribers and send your 15-day and 28-day email messages. In this case, you'll need to create two programs to send the email messages. Include the following steps in your programs:

    • Filter Activity (to sort out the subscribers in a data extension)
    • Group Refresh (if you're using subscriber groups)
    • The User-Initiated Email Send for the appropriate send (15-day or 28-day)

    Schedule the program to run every day and start the program to begin your drip campaign sends.

    Setting Up the Triggered Email Send

    The triggered email send goes out each time a subscriber enters their information on the Smart Capture form. Create the triggered send and include the email you wish to send when the subscriber enters their information on your Smart Capture form. Remember to start the triggered send once you have completed the send to enable it to interact with your subscribers.

    Setting Up the Smart Capture Landing Page

    You can use Smart Capture to gather the names and email addresses you wish to contact through your drip campaign. If you already have the names you wish to send to as part of your campaign in your account, you do not need to set up this form to complete your drip campaign. However, the Smart Capture form can help you gather some of the most common recipients of drip campaign messages - new subscribers.

    Follow the instructions under Smart Capture Procedures to create your form. Set the form to populate the list or data extension you sent up in the first step of the drip campaign. Be sure to include the following fields:

    • First Name
    • Last Name
    • Email Address
    • SignUpDate

    The Smart Capture form uses the SignUpDate field to automatically record the date of the sign-up, so you don't have to expose this field to the subscriber. Once the subscriber enters their information, the Smart Capture forms launches a triggered send to confirm the subscription and start the drip campaign.
