Use Case: Removing Members from Marketing Lists

    This document contains conceptual, scenario, and procedural information on how to use the Advanced Find feature in Microsoft Dynamics CRM to remove members from marketing lists. You can use these lists as exclusion lists to prevent email sends from going to subscribers you don't want to receive these messages. These subscribers may have received similar emails recently, or they may have already accepted or declined a specific offer and don't require additional emails. 

    Prerequisites

    You must have a Microsoft Dynamics CRM account and have installed the ExactTarget for Microsoft Dynamics CRM integration in order to use the information in this document.

    Scenario

    Northern Trail Outfitters sends out weekly emails detailing sales and special online offers to a subscriber list. Recently, they received a large influx of subscribers, and Northern Trail wants those new subscribers to receive this week's edition of the email. However, Northern Trail Outfitters does not want those who have previously received the email to receive another copy. Using Dynamics CRM, Northern Trail Outfitters removes those subscribers who have received an email in the past 7 days to make sure no subscribers receive duplicate emails.

    How to Remove Members from Marketing Lists

    Follow these steps to remove members from marketing lists:

    1. Log in to your Dynamics CRM instance.
    2. Click the ExactTarget button in the bottom-left corner of the browser.
    3. Click New Record and select Marketing List.
    4. Enter the name of the list in the Name text box.
    5. Select Contact in the Member Type dropdown menu.
    6. Click Save.
    7. Click Marketing List Members.
    8. Click Manage Members.
    9. Select the Use Advanced Find to remove members radio button and click OK.
    10. Select Activity Parties (Party) in the first dropdown menu in the Manage Members dialog box.
    11. Select Activity (Campaign Response) in the second dropdown menu.
    12. Select Sent Date in the third dropdown menu.
    13. Select Last 7 Days in the fourth dropdown menu.
    14. Click Find.
    15. Click Remove from Marketing List to create the new marketing list.

    You can then send an ExactTarget email to that marketing list.

    How to Remove Inactive Members from Marketing Lists

    If you want to remove inactive members from a specific list, follow the steps below:

    1. In your Dynamics CRM instance, open the marketing list from which you want to remove the inactive members.
    2. In the View dropdown menu, select Inactive Members.
    3. Click the checkbox next to the Full Name header to select all of the listed inactive members.
    4. Click More Actions and select Remove from Marketing List.
